OWIS Forum 2024: First ever gathering of OWIS experts, users and creators

We are proud to have been building and improving OWIS, our process and document management system, for twenty years. Since 2003, OWIS has grown into an essential partner for the digitalization of the business of many organizations, enabling them to manage documents and processes more efficiently. This year, with particular pleasure, we organized the first OWIS Forum, an event that brought together more than 150 experts, users and all those who work daily on the development and improvement of our system. The forum was an opportunity to share knowledge, exchange ideas and create the foundation for new solutions that will lead us all forward together.

Our OWIS team had the opportunity to present key aspects of the system and share the innovations that shaped the latest version of OWIS. Through these presentations, participants were able to learn how the improvements contribute to the efficiency, ease of use and adaptability of the system.

OWIS team: about yesterday, today and tomorrow

Nihad Salkić, our CEO, opened the OWIS Forum with an inspiring presentation "What, How, To Whom and Where?", bringing to life the story of OWIS's twenty-year development and highlighting a team with more than 100 years of accumulated experience and over 120 successful implementations for clients. He explained that OWIS is not just another DMS, but a solution that solves complex organizational challenges, focusing on the entire business process. Participants could see how OWIS progresses thanks to the team's experience and user feedback, with constant investments in development and innovations that improve the user experience.

Adnan Kalauzović, our Head of Customer Success, presented the topic "Beyond the Boundaries: What We Can Do and What's Coming?", highlighting the key capabilities brought by the Falcon version of the OWIS system. Adnan demonstrated how the latest upgrades, including advanced search, one-click and multiple actions, as well as a simplified overview and a more intuitive UI/UX, improve the user experience. He particularly emphasized the responsive design that allows for full adaptation to mobile devices, as well as innovative functionalities such as digital signature, Automation flow module and e-archive. Through this presentation, participants could clearly see how these upgrades transform everyday work processes and raise efficiency to a higher level.

Darko Baotić, our Head of Solutions, closed the OWIS trio session with a presentation on "Migration, Worry, Implementation?". Through practical examples, Darko highlighted how the Falcon version facilitates the transition to a new system and simplifies implementation, but he also focused on steps that clients can take to further facilitate implementation. He particularly emphasized the importance of avoiding problems such as the absence of decision-makers and insufficient availability of key people and information, which can slow down the progress of the project. He pointed out the low commitment to training, which often results in errors in the early production phase, and over-reliance on implementers, which can create unnecessary dependence on external resources. Darko also drew attention to the challenges of using multiple communication channels without defining primary contact persons, which makes it difficult to manage requirements, as well as unpreparedness for migrations and integrations, which can delay the completion of the project.

Although we could not invite all clients to share their experiences, among more than 100 satisfied users, we selected representatives who have been using OWIS for years and who have successfully migrated to OWIS Falcon, getting the most out of the new version of the system.

 

Exemplary OWIS systems in public administration - adaptation to all work systems and legal regulations

Dario Kihli, Head of IT at the Public Procurement Agency, held a presentation "Faster to the goal: digitalization and public procurement", in which he showed how the implementation of the OWIS system improved work processes within the Agency. Dario emphasized that OWIS helped automate business processes, enabling the search of subjects and document content, which resulted in time optimization and a reduction in errors. The use of OWIS significantly increased transparency and reduced costs, while the flexibility of the system enabled adaptation to the specific needs of the Agency. High-quality support during the work additionally contributed to the success of the implementation. He concluded that OWIS represents an advanced software solution that, thanks to a team with many years of experience, meets user expectations, as has been the case in the Public Procurement Agency of BiH over the past 15 years.

OWIS in corporations: the path to better efficiency

Mirza Kasum, CFO of Bosnalijek, spoke about the experience of digitalization through the presentation "The path to better efficiency: the evolution of the incoming invoice process". He pointed out that the OWIS system enabled the entire organization to actively participate in document processing, which was previously the task of only one or two sectors. With the new approach, cost management has become more transparent and accountable, with clearly defined limitations and authorizations. Thanks to the automation of processes such as posting, liquidation and case closure, the number of corrections and repostings in SAP due to incorrectly recorded dimensions has been reduced by 80%. The connection of OWIS with SAP enabled automatic synchronization of entities, dimensions, types of costs and other processed documents, which further improved efficiency and ensured a higher quality backup of documentation. All these changes resulted in a significant improvement in transparency and efficiency within the company.

The importance of networking and the future of the OWIS Forum

OWIS Forum 2024 was not just an event for knowledge exchange; it was a space for networking and strengthening relationships among professionals. This gathering emphasized the importance of working together and collaborating, which is key to further progress in digitalization. Thanks to the positive response, OWIS Forum will now become a traditional annual event, providing experts and users with a regular opportunity to meet, share experiences and co-create innovations that shape the future of business.
